Events Screen

Action Sets for 1 particular month
Q: I used to use the old MagicBase to create an Action Set of all customers who booked shows in a given month, no matter what year. Can you tell me how to use the Events Screen in MagicBasePro to do the same thing? It only seems to be able to find shows between certain dates, not within certain months.

A: MagicBase Pro can do that, just not with the Events Screen. To do that, you'll need to use the Marketing Screen. Using the Targeted Marketing Wizard you can select any month that you want to target and the Booking Status that you want to focus on (just like on the All Events screen in the old MagicBase) and MagicBase Pro will find all customers who have hired or inquired during any particular month. See the video "Using Time-Targeted Marketing with the Targeted Marketing Wizard."

Sub-set Action Sets
Q: I want to be able to find all libraries within 100 miles. How do I do that?
A: MagicBase Pro can search on any screen. On the Events Screen, in the Financials tab, there is a place to record distance to an event. Once you've recorded the distance to all of the libraries, then you can search that field. Here's how:
1. While on the Events Screen, click on the 'FIND' button.
2. In the 'Distance' field, type "<=100". (Less than or equal to 100) Then hit the 'Return' key.
Now the Current Action Set will be all customers within 100 miles. But this will only find all customers, not JUST libraries.

Another way to do this is with the Category fields on the Customers Screen. They are found on the 'Label' tab of the Customers Screen. You can customize the menu choices for the Category fields to say whatever you want.

Before you can search on a field, you need to do some preliminary work and enter data into the records that you'll want to search on later. You could create a menu item that says, "Within 100 miles". Then, after you've done the search to find every customer within 100 miles, you could browse through your records, and choose this menu item for every library.

Then, to find all libraries within 100 miles, you could do a search from the Customers Screen. You would select 2 fields in Find mode: Type 'Library' into the company name, or select 'Library' from the 'Customer Type' field (if you've used that field) AND select the 'Within 100 miles' selection from the 'Category' field. THEN hit the Return key and MBPro will find all records that have 'Library' in either the Company Name field (or 'Customer Type' field) AND have 'Within 100 miles' selected in the Category field.

Please see this video for a more complete explanation: How to Categorize Customers

Also, you could do a similar search using the Target Marketing Screen. On this screen, the Category fields are called List1 and List 2. See the overview video about the Targeted Marketing Screen to learn more.
